Sample letter No. 2

     FAX
To: Mundane Motor Inns Inc.
Customer Service Department
Nondescript, MO
ATTN: Carla Doe

Date: Nov. 10, 2006
Re: File No. 00000-2591
(complaint involving Mundane Molehill Inn, Pinto Bluff, OK)

Dear Ms. Doe,

Thank you for speaking with me this past Tuesday, Nov. 7, regarding improper charges by one of your affiliate motels--the Mundane Molehill Inn, Pinto Bluff, OK. I've enclosed the materials that you asked me to fax to you.

As I explained in my phone conversation with you, I initially had called the Mundane Molehill Inn on Sunday, Aug. 6, 2006, and made a reservation for four nights, to begin the evening of Thursday, Nov. 2. I was given a confirmation number: LL-00000.

I had made the reservation prematurely, however, so the next day--Monday, Nov. 7--I called back the Mundane Molehill Inn to cancel the reservation I had made the previous day. I asked for a confirmation number to validate my cancellation, but the reservation clerk at the Mundane Molehill Inn told me that was unnecessary and assured me that my reservation was deleted from the motel's system.

The attached records from my AT&T telephone bills verify when those calls were made. I have indicated them with arrows. I've also attached my VISA statement showing that the Mundane Molehill Inn ignored my cancellation request and charged me a "no-show" fee of $142.26.

I request reimbursement of the entire $142.26. I do appreciate your understanding and cooperation.

Here's how to reach me:

  • office, weekdays, 8:30 a.m. – 4:00 p.m.: (000) 111-1111
  • home, evenings and weekends: (000) 222-2222
  • cell phone: (000) 333-3333
  • e-mail: thatsme@bcde.com

I'm looking forward to your reply.

Sincerely,

Purchaser's name
